Who we are

BetterBrain is operated by Covalent Connect, Inc. We provide AI-powered data connectivity and workflow automation solutions. This policy describes how we collect, use, and protect your information when you visit our website or use our services.

What we collect

We collect information you provide directly (name, email, company, job title) and information collected automatically (IP address, browser type, device information, usage analytics). If you use our platform, we may also process business data you connect to our services.

How we use your data

We process your information to: provide and improve our services, communicate with you about your account or enquiries, analyse usage patterns, prevent fraud, and comply with legal obligations. We rely on your consent, contractual necessity, or legitimate interest as the legal basis for processing.

AI services

Our platform uses third-party AI providers including AWS AI services, OpenAI, and Anthropic to power AI features. Data processed through these services is handled in accordance with our data processing agreements and their respective privacy policies.

Google user data we access

You can connect Google accounts to BetterBrain so our AI assistant can work with your Google data when you ask it to in chat. A person signs in with Google and approves the permissions on Google's own consent screen; nothing is accessed before that. Gmail, Google Drive, Google Docs, Google Sheets and Google Slides are connected once for an organization, for example a shared inbox or shared Drive, and are then used by that organization's members. Google Calendar is connected by each person for their own calendar. We request only the following permissions (scopes):

• Gmail (https://www.googleapis.com/auth/gmail.readonly): search for and read email messages, threads and labels in the connected mailbox, to answer your questions and to help you write replies.
• Gmail (https://www.googleapis.com/auth/gmail.drafts): create draft emails for you to review. BetterBrain does not send email on your behalf; you review and send each draft yourself in Gmail.
• Google Drive (https://www.googleapis.com/auth/drive.readonly): search for and read the files in the connected Drive account, so the assistant can find and use them when you ask.
• Google Drive (https://www.googleapis.com/auth/drive.file): create new files that you ask the assistant to make. We do not use Drive access to modify or delete existing files.
• Google Docs (https://www.googleapis.com/auth/documents): read Google Docs and edit them when you ask.
• Google Sheets (https://www.googleapis.com/auth/spreadsheets): read values and structure, and update cells or formulas when you ask.
• Google Slides (https://www.googleapis.com/auth/presentations): read presentations and edit slides when you ask.
• Google Calendar (https://www.googleapis.com/auth/calendar.events.readonly): read-only access to list and read events. BetterBrain cannot create, change or delete calendar events.
• Basic account information (openid and https://www.googleapis.com/auth/userinfo.email): the email address of the connected Google account, shown in BetterBrain so you can see which account is connected.

How we use and share Google user data

We use Google user data only to provide the features described above, when you ask for them in BetterBrain. We do not use it for advertising, we do not sell it, and we do not use it to create, train, or improve generalized AI or machine-learning models. To produce the answer you asked for, the relevant Google data is sent to the third-party AI model providers we use (such as OpenAI and Anthropic) for that purpose only, and we do not permit them to train their models on it. We do not otherwise transfer Google user data to third parties, except to infrastructure providers that process it on our behalf to run the service, where the law requires it, or to protect the security of our service. BetterBrain staff do not read Google user data unless you ask us to (for example, to help with a support request), it is needed to investigate abuse or a security issue, or the law requires it.

Storing and deleting Google user data

The OAuth access and refresh tokens that let BetterBrain act on your behalf are encrypted at rest. Results the assistant fetches from Google while working on a request are held in a temporary store and expire automatically after 24 hours. The assistant's replies, which may quote or summarize Google data you asked about, are saved in your conversation history like any other message. You can disconnect any Google connector at any time in BetterBrain's integrations settings; this revokes BetterBrain's access with Google and deletes the stored tokens. You can also remove BetterBrain's access from your Google Account at any time at myaccount.google.com/permissions. To have your data, including your conversation history, deleted, email team@betterbrain.ai and we will act on your request.

Google API Services User Data Policy

BetterBrain's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data sharing

We share data with cloud service providers, payment processors, and analytics services necessary to operate our platform. We do not sell your personal information. Data may be transferred internationally, including to the United States and Norway.

Your rights

Depending on your location, you may have the right to access, correct, delete, or port your personal data. You can withdraw consent at any time and opt out of marketing communications. We support rights under GDPR, UK GDPR, CCPA/CPRA, and Canadian privacy law.

Security

We implement industry-standard security measures to protect your data, including encryption at rest and in transit, role-based access controls, and regular security audits. We are SOC 2 Type 2 certified.
